Office Manager Job Description

Due to business growth, we have an exciting opportunity for an enthusiastic and extremely organised Office Manager to join the team based in Telford.  


As ProGroup’s Office Manager, you will often be the first point of contact for our customers, listening to their requirements, helping answer questions or solve problems where possible and escalating queries where appropriate. You'll be integral to the successful delivery of our values – Solutions not problems.  


You’ll be responsible for ensuring effective communication within the business and for making sure that tasks are completed by the relevant person and nothing is forgotten.  


The position calls for a highly efficient and resourceful person who relishes tasks that involve lots of communication. You’ll have well practised investigation skills and enjoy solving problems.  



Main Role and Responsibilities

  • Answer and action all telephone and email enquiries to book customer appointments

  • Control valeting operator schedule

  • Point of contact for all valeting queries from employees and subcontractors

  • Communicate to valeters regularly by email, phone and text response service

  • Dealing with customers daily, working with them to provide an excellent service and aiming to resolve any issues they may have

  • Dealing with suppliers and negotiating the best prices

  • Maintaining stock levels and ensuring stock lists are kept up to date

  • Ensuring the office environment is clean, safe and organised and that the standards are maintained

  • Opening and closing premises when required

  • Overseeing daily planning

  • Monitoring the completion of tasks and performance against targets of the team, working with the Bodyshop Manager

  • Generate invoices

  • Approving holiday requests

  • Ensuring all orders are processed accurately in an efficient manner

  • Create and maintain effective office processes

  • Visitor Safety

  • Raise Purchase Orders on Sage

  • Manage the Bodyshop administration systems

  • Follow strict manufacture warranty claim process and procedures for incorrect parts

  • Ensure all Health and Safety policies, procedures, rules and regulations are reviewed and communicated.

  • Manage loan/hire vehicles, checking vehicles in and out, reporting and invoicing any damage.

Whilst industry specific training will be provided, we are looking for someone who can hit the ground running and therefore it is essential you have previous experience in similar roles.
